IPSC SAFE-A-THON

IPSC is organizing its first ever Safe-a-thon in the 12th edition of the conference. In this collaborative & a problem solving initiative, teams from same/multiple hospitals/ healthcare institutions/industries and diverse skills will come together to solve patient safety issues.

The problems must be resolved in a time bound manner. The expected result would be game changing solutions and translating these solutions not just on paper but may be into a working demo using new age technologies (optional). Teams must develop fully implementable solutions, moving beyond conceptual ideas to tangible, executable projects. Solutions must be practical, scalable, and impactful.

Problem statements shall be provided by the conference team which could range from preventing patient falls to error proofing hand off communications.

Solutions must be implementable and out of the box. Teams must detail out the solutions as much as possible.

Steps & Timeline:

  1. Online team registration by 31 January 2025 (including payment of the fees).
  2. Guidelines will be explained to all the registered teams virtually around 10 February 2025.
  3. Teams will be given the problem statement on 16 February 2025. After that, the teams can start connecting virtually and begin discussing the solution.
  4. Teams will be invited to work on the solutions physically on 18-19 February 2025 at our identified location(s) at New Delhi. Teams must submit their solutions latest by 19 February 2025, 6 PM.
  5. Lunch and tea/coffee (twice) per day will be provided and be included in the registration fees. Accommodation to be arranged by teams themselves.
  6. Jury will screen solutions of all the teams and shortlist Top-10 solutions by 20 February 2025.
  7. Shortlisted teams will present and pitch their solutions to the judges (10 minute presentation + 5 minutes Q&A) on 21 February 2025. Pitches should cover the identified problem, proposed solution, implementation strategy, extended impact, and scalability.
  8. 3 winners shall be adjudged and declared and shall be invited to 12th IPSC Award Function-cum-Gala Dinner on 21 February 2025 evening.
  9. 3 winner teams will present their solutions to the larger audience of the conference on 22 February 2025.

Team Composition:

  1. Multidisciplinary teams could be constituted within an organization or across multiple organizations in the same city/state or even different countries. An ideal suggested team could include doctor, nurse, quality professional, IT professional and ancillary/management staff/SME.
  2. Maximum team size must not exceed 5. Team can have a Mentor (professors/entrepreneurs/established Start-ups) in addition to a 5-member team.
  3. Registration fee as under must be paid by the due date:
    1. Early bird conference group registration (for five) including Safe-a-Thon entry fee until 30 October 2024 will be 18000 INR.
    2. Regular conference group registration (for five) including Safe-a-Thon entry fee from 01 Nov 2024 – 31 January 2025 will be 25000 INR.

Brainstorming:

  1. Teams will be given a limited time to brainstorm and develop solution kits.
  2. Ideas need to be consolidated into a coherent solution kit including tools, resources and implementation plan and metrics for evaluation.
  3. If proposing new applications, teams should have a beta version ready for demonstration.    
  4. Teams must submit their solutions in a brief presentation outlining their kits. Annexures could be added as many as desired. Solutions should include a detailed implementation plan, addressing feasibility and scalability.
  5. All teams are requested to bring and use their own laptops. Wi-Fi/power facilities will be provided.
  6. Any costs incurred while developing the solution should be borne by the participants.

Evaluation Criteria:

  1. Problem Understanding: Demonstration of a thorough understanding of the problem, backed by data.
  2. Solution Feasibility: Practicality and realism of the solution, including prototype readiness.
  3. Implementation Plan: Detailed, actionable plan with timelines, resources, and potential challenges.
  4. Impact Potential: Expected impact on patient safety, supported by clear metrics.
  5. Scalability: Potential for the solution to be scaled in different settings.
  6. Cost-Effectiveness: Economic viability of the solution.

Award:

  1. The jury will evaluate the presentations and select 3 winners.
  2. Top 3 teams will receive a prize of 75000 , 50000, 25000 INR respectively in Conference Award Function.
